M-Pesa at the Till: How to Take Mobile Money Without Fake Messages or End-of-Day Headaches
Most customers in Kenya would rather pay with M-Pesa than cash. That is good for your shop: less cash in the drawer, fewer trips to the bank, and no hunting for change. But M-Pesa at a busy till brings its own problems: fake payment messages, cashiers who can't check every payment, and an evening spent matching statements against sales. This guide covers how to take mobile money safely and how to close the day knowing the numbers add up.
The fake M-Pesa message problem
Every shopkeeper knows this trick. A customer "pays", shows the cashier a confirmation SMS on their phone, and walks out with the goods. Later you find the money never arrived. The message was typed out to look like a real M-Pesa confirmation, or it was an old message, or it was for a different amount.
It works because, at a busy counter, the cashier is checking the customer's phone instead of the shop's account. Phoning the owner to confirm every payment slows the queue, so most cashiers just trust what they see.
There are two ways to fix this:
- Only accept a payment once it shows on the shop's side, never on the customer's phone.
- Send the payment request to the customer instead of waiting for them to send money to you.
Why STK push is safer
With STK push, the shop starts the payment. The cashier enters the customer's phone number and the amount, and an M-Pesa prompt pops up on the customer's phone asking for their PIN. The customer confirms and the money moves.
This removes most of what goes wrong with Till and Paybill payments:
- The amount is always right. The cashier sets it, so nobody pays KSh 150 for a KSh 1,500 bill by mistake, or on purpose.
- No wrong till or account numbers. The customer doesn't type your number, so they can't get it wrong.
- Confirmation comes from the payment provider, not a screenshot. The system that sent the request also checks whether it was paid.
How Inventora handles M-Pesa
Inventora POS gives you two ways to take mobile money, and both end up in the same reports.
Pay via Network: STK push at checkout. Connect your DPO Pay merchant account and the cashier gets a Pay via Network button at checkout. They pick the network the customer uses, such as M-Pesa or Airtel Money (or card), enter the customer's number, and the prompt goes to the customer's phone. Inventora holds the sale while the customer pays.
The sale completes only when the payment is confirmed. Inventora checks the payment status directly with DPO using your shop's own account. It doesn't rely on anything the customer shows the cashier. The sale completes by itself once DPO confirms payment. If the customer cancels the prompt or it fails, the sale doesn't go through and the cashier can try again or take another payment method.
Till and Paybill payments, recorded properly. Not every customer wants a prompt, and some will still pay to your Till or Paybill. Set these up as mobile-money accounts in Inventora, for example "M-Pesa Till" and "Paybill", and the cashier picks the right one at checkout. There is a Transaction Reference field for the M-Pesa code, so each sale carries the code you will see on your statement.
Split payments. A customer can pay part in cash and the rest by M-Pesa. Inventora records each part against its own account, so your cash and mobile money stay separate.
Reconciliation, line by line. The reconciliation view lists every sale with its customer, receipt number, time, payment method and amount. Filter it to one payment method, say your M-Pesa Till, then go down your statement and tick each sale as you match it. Inventora records who reconciled each sale and when, and anything still unticked at the end of the day is a payment to follow up.
Shift close that counts cash on its own. At the end of a shift, Inventora works out how much cash should be in the drawer and compares it with what the cashier counts, flagging any shortage or surplus. Because M-Pesa sales are recorded separately, they never get mixed into the cash count and make the drawer look short or over.
A quick checklist for your shop
- Tell cashiers clearly: never release goods on the strength of the customer's phone. Only a confirmation on the shop's side counts.
- Use STK push for most mobile-money sales so the amount and account are always right.
- Set up each Till and Paybill as its own account, so you know where every shilling landed.
- For Till and Paybill payments, ask cashiers to record the M-Pesa code with the sale.
- Reconcile mobile money every day, not once a month. A missing payment is easy to chase today and nearly impossible in three weeks.
- Keep cash and M-Pesa separate when closing a shift, and look into every shortage, however small.
