KRA eTIMS for Retail Shops: What It Is and How to Comply Without Slowing Down Your Till

If you run a shop in Kenya, you have probably heard customers ask, "Can I get an eTIMS receipt?" More business buyers ask every month, and for good reason. This guide explains what KRA eTIMS is, why it matters to your shop even if you are not VAT-registered, and how to handle it at the till without slowing down your queue.

What is eTIMS?

eTIMS stands for electronic Tax Invoice Management System. It is KRA's system for recording sales invoices as they happen. When a sale goes through eTIMS, the invoice is signed and registered with KRA, and the receipt carries proof of that: a control unit invoice number, a signature, and a QR code anyone can scan to check the invoice on KRA's portal.

eTIMS replaced the older TIMS setup, where VAT-registered businesses needed a physical ETR machine. Today a shop can comply with a certified control unit, either a device on the shop network or a hosted (virtual) one, connected to its point-of-sale system.

Does eTIMS apply to my shop?

eTIMS is not only for big, VAT-registered businesses. KRA expects all businesses, including those not registered for VAT, to issue eTIMS invoices.

The biggest reason it affects your sales: business customers need eTIMS invoices to claim their expenses. Since January 2024, KRA only allows a business to deduct a purchase if it is backed by a valid eTIMS invoice. So when a contractor, hotel, school or office buys from you, a plain paper receipt is no longer good enough for them. If you cannot give an eTIMS receipt, they may take their business to a shop that can.

KRA's rules and deadlines change from time to time, so confirm your own obligations with KRA or your accountant. But for most shops the direction is clear: being able to issue eTIMS receipts is now part of being open for business.

What makes an eTIMS receipt valid?

A valid eTIMS receipt shows:

  • your business name and KRA PIN;
  • the items sold, with prices and the VAT on each (where VAT applies);
  • the control unit invoice number and signature returned by the control unit;
  • a QR code that links to the invoice on KRA's system;
  • the buyer's KRA PIN, when the buyer is a business that wants to claim the purchase.

That last point matters. A business customer's expense claim only works if their KRA PIN is on the invoice. Asking for it at checkout, and getting it right, is part of the job.

The hard part: doing this at a busy till

Most shops struggle with eTIMS for practical reasons, not because they don't want to comply:

  • Double entry. The cashier rings up the sale on one system, then types it again into a separate eTIMS portal or device. It is slow and mistakes creep in.
  • VAT per item. Not everything you sell is taxed the same way. Some items carry 16% VAT, some are zero-rated, some are exempt. Getting that wrong on every receipt is a real risk.
  • Customer PINs. Regular business customers have to give their KRA PIN every single time, and a single wrong character makes the invoice useless to them.
  • Backdated sales. Sales entered late, after the fact, may be rejected by the control unit, and the error messages are rarely clear.

The fix is to make eTIMS part of the sale itself, not an extra step after it.

How Inventora handles eTIMS

Inventora POS signs your sales through eTIMS as part of checkout, so the cashier sells exactly as before and the receipt comes out compliant.

Every sale is signed as it happens. When the cashier completes a sale, Inventora sends it to your eTIMS control unit and saves the control unit invoice number and signature against the sale. The printed receipt, and the digital receipt you can share with the customer, show those details along with the KRA QR code.

VAT is set per product. You choose the VAT treatment for each product once, when you add it. After that, every receipt shows the right tax on every line, with no calculator and no guessing at the counter.

Customer KRA PINs are remembered. Save a business customer's KRA PIN on their customer record and Inventora fills it in automatically whenever you sell to them. For walk-in customers, the cashier can type the PIN at checkout, and Inventora checks that it looks like a valid KRA PIN before the sale goes through.

It works with your setup. Inventora connects to a control unit on your shop network or to a hosted eTIMS endpoint.

Clear errors, not silent failures. If the control unit rejects a sale, for example because it is backdated, Inventora tells the cashier why in plain language, so the problem gets fixed on the spot.

We set it up with you. Connecting your eTIMS control unit is done together with the Inventora team, so you are not left reading technical manuals on your own.

It is not an add-on. VAT and eTIMS come with Inventora as standard. Tax compliance is a legal requirement, so we don't lock it behind a higher price.

A quick checklist for your shop

  1. Make sure your business has a KRA PIN and is set up on eTIMS with KRA.
  2. Get a certified control unit, or a hosted eTIMS connection, for your shop.
  3. Set the correct VAT treatment for each product you sell.
  4. Save the KRA PINs of your regular business customers.
  5. Train your cashiers to ask business buyers, "Do you need an eTIMS receipt with your PIN?"
  6. Check a few receipts each week: scan the QR code and confirm the invoice shows up on KRA's system.
